GROW LIGHTLY AI POLICY V:01 -  Date: 10 Feb 2026. 

 

PURPOSE:

The purpose of this policy is to define and guide all team members of Grow Lightly on the use of Artificial Intelligence (AI) while carrying out tasks for Grow Lightly including representation and marketing. 

 

SCOPE:

This policy applies to all team members including volunteers and paid employees of Grow Lightly, when carrying out tasks for Grow Lightly purposes. 

 

POLICY STATEMENTS:

 

• Representation:

Grow Lightly does not permit the use of AI for representation purposes. No AI images, or content is allowed to be used to directly represent Grow Lightly. Only human made photography, videography, written, digital and other created content that will represent Grow Lightly is permitted with the use of technology such as cameras and computers. 

 

• Ethics:

Grow Lightly acknowledges that the utilisation of AI technology has an impact on the environment, the use of water, power and land is an ethical concern and as such, Grow Lightly team members should keep their AI usage to as minimal as possible when carrying out tasks directly for Grow Lightly purposes. 

 

SECURITY:

 

Identity, security and personal data is another ethical concern and as such, permissions for use of information, likeness and identifying data must have consented permission given by each individual before being obtained by Grow Lightly. For now this can be as simple as asking each individual for their consent in person or via communications such as over the phone, text, or email. NOTE: This policy item may be reviewed to include signed permission forms in future.

 

• Tools:

Grow Lightly allows the use of AI as a tool only and as minimally as possible for works carried out for Grow Lightly purposes such as recordings and transcripts of meetings. 

 

COMPLIANCE:

To ensure compliance of this AI Policy, Grow Lightly board members are responsible for the training, implementation and regulation of this policy within the Grow Lightly team.
